3CX Basics: Quick Reference Guide

3CX is a phone system that lets you make and receive calls from your computer, mobile, or Yealink desk phone. Whether you're in the office or working remotely, 3CX helps you stay connected.

Your Yealink desk phone is already linked to the system, so you can easily transfer calls, check voicemails, and search the company address book. The 3CX desktop and mobile apps give you the same features on the go, making it easy to manage calls wherever you are.


3CX Windows Desktop App

1. Search the Address Book

  • Use the search bar at the top.
  • Type a name, number, or extension.
  • Click a contact to call, see presence status, or view details.

2. Check Voicemails

  • Click the Voicemail tab (cassette icon).
  • Select a message to play, download, delete, or call back.

3. Transfer Calls

  • While on a call:
    • Click Attended Transfer.
    • Type a name or extension.
      • Speak to the person you are transferring to
      •  Click join to connect the call

4. View Call History

  • Click the Call History tab.
  • Filter by missed, received, or outgoing calls.
  • Right-click to redial or view contact info.

5. Set Your Status

  • Click your name/avatar at the top.
  • Choose from: Available, Away, Do Not Disturb, or Custom.
  • Your status controls how incoming calls are handled.


Yealink Desk Phones 

1. Search the Address Book

  • Press Directory.
  • Select 3CX Phonebook
  • Use arrows or keypad to find a contact.
  • Press OK to view or call.

2. Check Voicemail

  • Press the Message button (envelope icon).
  • Follow the voice prompts to listen, delete, or save.
  • You may be asked for your voicemail PIN which will be included in your welcome email

3. Transfer Calls

  • While on a call, press Transfer.
  • Enter extension or number:
    • Press Transfer again for Blind Transfer.
    • Or wait to speak, then press Transfer to complete an Attended Transfer.

4. View Call History

  • Press the History or Call Log button.
  • Browse missed, received, or placed calls.
  • Select an entry to redial or add to contacts.

5. Do Not Disturb (DND)

  • Press the DND soft key to send calls straight to voicemail.
  • Press again to disable.


Mobile App Provisioning (iOS & Android)

How to Set Up the 3CX Mobile App

  1. Install the 3CX App
    • Download 3CX from the App Store (iOS) or Google Play (Android).
  2. Get Your Welcome Email
    • You will receive a "Welcome to 3CX" email from your system administrator.
    • Open this email on your computer.
  3. Provision the App
    • In the email, scan the QR code from within the 3CX app.
    • The app will auto-configure with your extension, voicemail, and contact access.
  4. Grant Permissions
    • Allow microphone, contacts, and notifications when prompted.
    • Set your status in the app just like the desktop version.
  5. You're Ready to Use 3CX on Mobile!
    • Use the app to make/receive calls, check voicemail, and search the address book from anywhere.
