Ben Q Smartboard Quick Reference Guide

Account Access

  • Employees:
    If you are an employee of a company within the Goonvean Group, please contact the IT department at it@equinoxx.uk or call 01392 696999 to have a BenQ account created and your key fob registered.
  • Guests:
    Please use the Guest sign-in option on the display.

Signing In

Upon entering the room, the display will present three options:

  1. Guest Sign-In
    Tap Guest to sign in temporarily. This provides access to all core functions; however, any personal settings or app logins will be cleared once you sign out.
  2. Login with Credentials
     If your account has been pre-registered with the IT department, you can sign in with your BenQ credentials. This will save personal configurations and app logins for future sessions.
  3. Tap Your NFC Card
     If your key fob has been registered, tap it on the NFC reader (located below the on-screen prompt) to sign in automatically using your BenQ account.

Screen Sharing Options

  • Wireless Display (Direct Share):
    Press Windows + K on your laptop to open wireless display options. The BenQ display will appear as long as your device is signed in and on the same network.
  • InstaShare 2:
    Download the free InstaShare 2 application from the BenQ website. Once installed and running, you will see a list of compatible displays on the network available for screen sharing.
  • Cable Connection:
     You may connect your device directly to the display using HDMI or USB-C. Cables can be borrowed from the IT team if not already available.

Applications

  • Application Drawer:
    Tap the 4-square icon at the bottom of the screen to open the app drawer and view all installed applications.
  • Customise Desktop:
     Long-press any app in the drawer to drag it to a preferred location on the desktop or pin it to the taskbar for quick access.

Whiteboarding

  • Using EZWrite:
    In the app drawer, open the EZWrite app. You can use the provided pens to draw, annotate, or create content directly on the screen.
  • Toolbar Functions:
    A toolbar at the bottom of the screen allows you to change pen types, erase content, add tables, charts, and more.
     For full feature guidance, scan the QR code provided at the bottom of this document.
  • Saving & Accessing Content:
    Tap the menu icon (three lines) in the bottom left corner to save your whiteboard session or open previously saved files.
     If signed into OneDrive, you can also open and annotate documents such as PDFs or Word files.

Microsoft Applications

  • The device comes pre-installed with the Microsoft 365 suite, including Word, Excel, PowerPoint, and OneNote.
  • Sign in using your Microsoft 365 credentials. If you are using a BenQ account or registered key fob, your session and app logins will be retained.
